# AI for SMEs: how artificial intelligence is changing the game in Portugal

When the topic of artificial intelligence comes up, most SME owners in Portugal pull the same face. That "this is all very nice, but it's not for me" face. It's for Google, for Microsoft, for those Silicon Valley companies whose budgets look like the GDP of small countries.

And I get it. The hype around AI is deafening. Every day a new tool drops, a new model, a new promise. It's easy to tune out and assume this is just another tech fad that will blow over.

Except it won't. And the Portuguese SMEs that understand this now will have an advantage that, two years from now, will no longer be available.

## The elephant in the room: Portugal is behind

There's no nice way to put this. According to the European Commission's DESI index, Portugal sits consistently below the European average for digital technology adoption among SMEs. While countries like Denmark, Finland and the Netherlands have SMEs using AI to optimise operations, in Portugal we're still debating whether it's worth having a decent website.

The problem isn't a lack of intelligence. Portuguese entrepreneurs are among the most resilient and creative in Europe. The problem is information. Nobody has explained to them, in plain language, what AI can concretely do for them. What they hear is buzzwords, English-language presentations and use cases from companies with 10,000 employees. None of that means anything to them.

Let's change that.

## What AI actually does for an SME

Forget the robots, forget Terminator, forget the digital-brain stock images. AI, in the context of an SME, is something far more mundane and far more useful: it's a tool that saves you time, gives you better information and lets you do more with fewer people.

**Customer service without hiring anyone else.** An AI chatbot on your site can handle 80% of the questions your customers ask every day. Opening hours, prices, availability, order status. Things that today tie up one or two people full time. And it works at 3 a.m., on Sundays, on bank holidays.

**Emails and proposals in half the time.** Instead of spending 45 minutes writing a commercial proposal, you describe what you need to an AI tool and you have a first draft in 30 seconds. You tweak it, personalise it and send it. The proposal goes out better and faster.

**Data analysis that used to be reserved for the big players.** Got an Excel sheet with the last three years of sales? An AI can find patterns you'd never spot. Which products sell best in which months, which customers are about to stop buying, where you're losing margin. Information that used to require a full-time analyst.

**Marketing that actually works.** Generating social media copy, creating ad variations, segmenting audiences, analysing what's working and what isn't. Things a marketing agency charges you thousands of euros a month for, you can start doing in-house with AI tools.

**Internal processes that run themselves.** Automatic invoicing, expense categorisation, meeting summaries, document translation, data extraction from PDFs. All of these are tasks that eat up hours every week and that AI solves in minutes.

A real example

A food distribution company with 30 employees started using AI to forecast weekly demand for its products. The result: 22% less waste and an 8% margin increase in six months. They didn't hire a single data scientist. They used tools available to any company.

## Free tools you can start using today

This is where it gets interesting. You don't need to invest thousands of euros to get started. These tools have free plans or very affordable ones:

**For text, analysis and ideas:**

-   **ChatGPT** (OpenAI): Free plan available. Writes emails, analyses text, summarises documents, brainstorms ideas. It's the Swiss army knife of AI.
-   **Claude** (Anthropic): Free for basic use. Excellent for long-document analysis, professional writing and complex reasoning.
-   **Gemini** (Google): Built into Google Workspace. If you already use Gmail and Google Docs, AI is one click away.

**For task automation:**

-   **Zapier** (free plan with 100 tasks/month): Connects your apps and automates workflows. Example: when you get an email from a new customer, it automatically creates a contact in the CRM and sends a welcome message.
-   **Make** (formerly Integromat, free plan): Similar to Zapier, with more visual flexibility. Ideal for more complex workflows.

**For marketing and content:**

-   **Canva with AI**: Generates images, creates social media designs, removes backgrounds. The free plan already includes AI features.
-   **Meta Business Suite**: Facebook and Instagram's AI tools for content suggestions and posting times are free.

**For office productivity:**

-   **Microsoft Copilot**: If your company already pays for Microsoft 365, you have access to Copilot built into Word, Excel, PowerPoint and Outlook. Email summaries, Excel data analysis, presentation creation.
-   **Google Duet AI**: Built into Google Workspace, it helps you write, analyse and organise across Gmail, Docs and Sheets.

**For customer service:**

-   **Tidio** (free plan): AI chatbot for your site. Set up in minutes, no coding required.
-   **Crisp** (free plan): Live chat with smart automated replies.

You don't have to use everything

Pick one or two tools that solve your most urgent problem. Don't try to roll out everything at once. The best AI tool is the one you actually use, not the one with the most features.

## The risks you need to know about

It wouldn't be honest to talk only about the upsides. AI has real limitations and risks you need to understand before diving in headfirst.

**GDPR and personal data.** This is serious. If you feed customer data, names, emails, addresses, purchase history, into a public chatbot like ChatGPT, that data can be used to train the model. Before using any AI tool with sensitive data, check the privacy policy and use enterprise versions that guarantee your data isn't shared.

**AI gets things wrong.** And it gets them wrong with confidence. It can invent facts, cite laws that don't exist, give incorrect numbers. Never publish or send AI-generated content without reviewing it. Treat the AI's output as a first draft, not absolute truth.

**Over-reliance.** AI is a tool, not a substitute for critical thinking. If your team stops thinking because "AI handles that", you've got a bigger problem than the one you were trying to solve.

Be careful with your data

Never enter personal customer data, sensitive financial information or trade secrets into free AI tools. Always use the enterprise versions (ChatGPT Enterprise, Claude for Business, etc.) that guarantee your data isn't used for training. GDPR applies, and the fines are real.

## How to start this week (without spending a cent)

You don't need a 47-page strategic plan. You need to start. Here's a simple framework:

**Day 1: Identify your biggest time-sink.** Which repetitive task is eating the most hours in your company? Emails? Proposals? Reports? Customer service? Pick one.

**Day 2: Try a free tool.** Go to ChatGPT or Claude. Describe the task you identified and ask for help. You'll be surprised by the result.

**Day 3: Get the team involved.** Show what you've discovered to one or two people on your team. Ask them to try it for a week. No pressure, no targets, just experimenting.

**Week 2: Measure the impact.** How much time did you save? Was the result good enough? What worked and what didn't?

**Week 3: Decide on the next step.** If it worked, expand. Identify the second process to optimise. If you need to go further, integrate AI into your systems, automate complex workflows or build bespoke solutions, that's where a tech partner makes the difference.

Free tools take you a long way. But there's a point where you need more. When you want to integrate AI into your existing systems, your ERP, your CRM, your website. When you need a chatbot trained on your specific products and processes. When you want automations that connect five or six different tools without breaking.
